How a smaller company gets started with AI agents

Start with one well-defined problem, put numbers on it and let people make the decisions. That is how you take the first steps without big risks.

An AI agent is a program that reads information, makes decisions within limits you set and carries out tasks in your systems. Unlike a regular chatbot, the agent does something: it reads invoices, proposes purchases or sorts cases.

1. Pick one well-defined problem

The best first agents solve a repetitive problem that already costs time or money, such as manual invoice handling, recurring customer questions or stock that ties up capital. The clearer the problem, the easier it is to measure the effect.

2. Put numbers on it before you build

How many hours go into the task today? How much capital is tied up? What does a mistake cost? Once you know what the problem costs, you also know how much a solution may cost and how to follow it up.

3. Start with data you already have

Most companies have more useful data than they think: sales, stock, cases and documents. An agent connects to the systems you already have instead of replacing them.

4. Keep a person in the loop

Let the agent propose and a person decide at first. Once the proposals hold up, the agent can be given a wider mandate within clear limits.

5. Measure and improve

Compare the outcome with the business case. An agent that saves time but creates uncertainty needs adjusting. An agent that delivers can take on more tasks.

  • Narrow down the problem
  • Work out what it costs today
  • Connect to existing systems
  • Let people decide at first
  • Follow up against the business case
